Accessing Services
Many WCC clients come to us when they need a brochure, flyer, poster, invitation, or other promotional materials. There are seven stages in the production of these pieces. They include:
Who pays? The Public Relations and Marketing Services department pays most publication production expenses. Priority is given to publications that are used campus-wide and support institutional marketing objectives. However, expenses for some publications are shared between our department and yours. Shared amounts are determined during the planning stage. How long will it take? The timelines that follow are your guide for planning. Most projects will be completed in a shorter timeframe depending on approvals by your department, proofreading and editing, and the number of jobs in line ahead of yours. Planning (completed in one or two meetings) We meet with you to exchange ideas about creative approaches and establish a production timeline. Faculty are encouraged to talk first with their dean before coming to us to work out the details. Writing/Editing (one to two weeks) You provide, in writing, the information you wish to include in your publication. We use it to prepare finished text, or copy. Some clients prefer to write their own text, which we will edit for clarity, conciseness, accuracy, and style. However our professional staff is more than happy to translate your ideas into phrases that will get attention. You'll review each draft of the text, correcting factual mistakes and making suggestions for improvement. Changes made after the Writing/Editing stage will delay the project and could result in additional charges, which your department will have to cover. Design (one to two weeks) We take your approved text and prepare a graphic rendering or layout for your publication. With your input, we develop the design concept from initial sketches to a final layout. Writing/Proofreading/editing (one week) This is the first time you'll see the text and graphics together. Look for date and time errors, misspellings, and grammar problems. Text may also need to be cut to fit in the layout. Corrections (one week) Only minor text changes should be made at this stage-no rewrites. Bidding (two weeks) Most of the publications we produce are duplicated on campus at the IKON Service Center. However, for some brochures and specialty catalogues we work with the Purchasing Department to locate a vendor who will print your publication in a quality fashion at a competitive price. We initiate the purchase order, unless otherwise notified, and provide the funding to produce it. New projects not budgeted for in the academic year may require reimbursement from your department. Printing (two to three weeks) Most off-site printing jobs are completed in 10 days to two weeks. All publications are delivered to Shipping and Receiving. You are responsible for making distribution arrangements. Banners, signs, displays and other visuals PRMS will create the artwork you need to create a banner, sign, display or other visual by an off-campus vendor; however, your department is responsible for production expenses. Production time varies with each project. Banners normally require a minimum of two weeks; displays may take from four to eight weeks. |
